Enquiries
Every quotation a buyer generates lands in Enquiries, with the products, options, quantities and prices they chose.
An enquiry is created the moment a buyer taps to send their quotation from your catalog link. You do not need to copy anything from WhatsApp or retype an order. Each one is saved with the buyer, the date, the products and the grand total.
Think of Enquiries as your sales inbox. It tells you who wants what, and which buyers still need a reply. Working through it every day is the simplest way to stop orders slipping through the cracks.
The inbox
Open Enquiries from the menu to see the inbox. Each card shows the buyer's company (or name), the time it arrived and up to five product chips with their quantities. If the buyer typed a note, the first part of it appears on the card too.
- Filter by status: All, New, Seen, Replied or Archived.
- Filter by buyer with the All Buyers dropdown.
- New enquiries always sit at the top.
- Export CSV downloads all enquiries.
Finding the right enquiry fast
The New filter shows a small count badge when unopened enquiries are waiting. Start your day there. The status and buyer filters work together, so you can pick a buyer and then switch between statuses.
The inbox shows 20 enquiries per page. Use the page links at the bottom to go further back.
Before a call with a regular dealer, choose their name in All Buyers. You will see every quotation they have ever sent, newest first.
Export CSV
Export CSV downloads every enquiry for your account as a spreadsheet. It does not follow the filters on screen. Each row has these columns:
| Column | What it holds |
|---|---|
| ID | The enquiry number |
| Date | Date and time the enquiry arrived |
| Buyer | The buyer's name |
| The email the buyer gave | |
| Added By | The team member linked to the enquiry, if any |
| Products | Product names, separated by a | sign |
| Status | new, seen, replied or archived |
| Channel | How the buyer sent it, for example whatsapp or email |
Open the file in Excel or Google Sheets to count enquiries per month, or to find buyers who have gone quiet.
Inside an enquiry
Click any card to open the full enquiry. The left side shows what the buyer wants. The right side shows who they are and lets you reply.
- Invoice Items: products, options, quantities and totals.
- Buyer Details, with Reply on WhatsApp and Reply by Email.
- Your Internal Notes: private notes, up to 2,000 characters.
- Download PDF (the buyer's quotation) and Download CSV.
Invoice Items
Each product appears once, with its photo and SKU. Under Combinations you see every option the buyer chose, such as a material, size or colour, with its own quantity, unit price and total. The Grand Total sits at the bottom.
For example, a garment buyer may order the same kurta in two combinations: Cotton, size M, quantity 50 at ₹420, and Cotton, size L, quantity 30 at ₹440. Both lines show under one product, so you can read the order at a glance.
Buyer's Note
If the buyer wrote a message, it appears in a Buyer's Note box. Buyers often use it for delivery dates, transport details or special requests. Always read it before you reply.
Buyer Details and replying
Buyer Details shows the buyer's name, company, mobile, email and city. Tap the mobile number or Reply on WhatsApp to open a WhatsApp chat with them. Reply by Email opens your email app, and it shows only when the buyer gave an email.
Replying from here does not change the status by itself. After you reply, set the status to Replied yourself (see below).
Enquiry Info
The Enquiry Info box shows when the enquiry was Received, the Channel the buyer used, and the first characters of the Link it came from. The link code helps you match an enquiry to the catalog link you shared.
Your Internal Notes
Notes are for you and your team only. Buyers never see them. Use them to record what you agreed, so anyone picking up the enquiry later knows the story.
- "Called on 12 Mar. Agreed 5% extra discount on 100+ pcs."
- "Dispatch by VRL Logistics, payment 50% advance."
- "Asked for sample of blue shade first."
Type your note and click Save Notes. Notes can be up to 2,000 characters.
Download PDF and Download CSV
Download PDF gives you the same quotation PDF the buyer received. The button shows only when a PDF was saved for that enquiry. Download CSV gives you the line items as a spreadsheet: product, SKU, material, variant, quantity, unit price, total and grand total.
The CSV is handy when you need to pass the order to your warehouse or enter it in your accounting software.

Statuses
Status tells you where each enquiry stands. Keeping it up to date turns your inbox into a simple to-do list.
| Status | Meaning |
|---|---|
| New | Not opened yet |
| Seen | You opened it (automatic) |
| Replied | You answered the buyer |
| Archived | Done |
Changing the status
Only the change from New to Seen happens on its own, the first time the enquiry is opened. Every other change is yours to make.
- Open the enquiry.
- In the Update Status box, choose New, Seen, Replied or Archived.
- Click Update Status. You return to the inbox.
You can set an enquiry back to New if you want it to stay at the top as a reminder.
- Dozens of enquiries stuck on Seen
- No idea who has been answered
- Old, closed orders mixed with live ones
- Seen means "read, reply pending"
- Replied means "waiting for the buyer"
- Archived means "closed", out of the way
A daily routine that works
A few minutes each morning is enough for most sellers. Here is a routine many B2B teams follow.
- Click New and open each enquiry. Read the items and the buyer's note.
- Reply on WhatsApp with stock, delivery time and any price change. Then set the status to Replied.
- Add an internal note with anything you agreed.
- Click Replied and chase buyers who have not answered in two or three days.
- Set finished or lost enquiries to Archived.
Not every interested buyer sends an enquiry. In Buyer Analytics, the Selected but NOT enquired list shows products a buyer picked but never sent. Call those buyers too.
Common mistakes
Seen only means someone opened it. Set Replied after you actually reply.
Write agreed prices and terms in Your Internal Notes. Your team can then follow up without asking you.
Archive closed enquiries. Your active list stays short and easy to act on.
Notes often hold the most important detail, like a deadline. Read it before quoting a delivery date.
With the Invoice Billing add-on, each enquiry also creates a draft invoice. See Invoices.
